The Opportunity
The Senior Executive Assistant provides high‑level administrative, operational, and strategic support to one or more senior executives. The role ensures proactive management of executive schedules, coordination of meetings and deliverables, preparation of leadership and governance reporting, and effective liaison with internal and external stakeholders. The Senior Executive Assistant handles sensitive information with discretion, manages competing priorities, and supports business‑unit operations through efficient administration, documentation, and project coordination.
The Senior Executive Assistant is accountable to the assigned senior executives and operates within the context and prescribed limits established by the organization’s executive leadership.

What You’ll Be Responsible For
Working under the direction of your EVP, a typical day will include:
- Provide dependable, high quality, accurate and timely support to the EVP in an efficient and effective manner ensuring confidentiality and professionalism. Proactively manage the executive’s calendar, make travel arrangements, track and process expense claims.
- Prepare Executive annual meeting calendar and deliverables.
- Organize annual and monthly meetings for the assigned leadership team, preparing and distributing meeting agenda and materials, discerning and identifying key priorities and action items, and managing meeting logistics.
- Lead the preparation of monthly/quarterly reporting, including tracking deliverables, setting internal reporting deadlines; proofreading for spelling and grammar, reviewing, editing and formatting documentation, highlighting gaps, issues and priorities; and uploading materials by deadline due dates.
- Manage and coordinate events and recognition programs (Town Halls, Milestone recognition, Safety Summits, and EVP table hosting, Retirement Celebrations) as well as coordinate any site visits by EPCOR Executives or Board.
- Manage and update the content on the executive and leadership SharePoint sites
- Coordinate onboarding, office moves, organizational changes, and administrative transitions
- Collaborate with EPCOR’s EA and administrative teams; provide mentoring and training for succession planning
- Generate and maintain confidential files, documents, correspondence; prepare presentations for committee and review meetings.
- Act as liaison between executives and internal/external stakeholders to support business priorities, events, programs and site visits
- Track and coordinate budget‑related items, including expenses and reporting
- Support strategic planning cycles, special projects, and ad‑hoc initiatives as assigned by the leadership.

Experience & Expertise
- A minimum of 5-10 years of progressive experience in an administrative role supporting a senior level executive/director
- Completion of a post-secondary program in Business Administration or a related field is strongly preferred.
- Advanced technical skills in the use of various computer applications including MS Office Suite, Oracle and SharePoint as well as overall technical aptitude to navigate evolving technologies
- Proven ability to prioritize and complete tasks to meet or exceed assigned deadlines
- Discretion, sound judgement and demonstrated ability to preserve strict confidentiality
- Understanding of business protocols to initiate and implement new procedures
- Aptitude to develop, mentor and guide others
- Ability to contribute to an office environment focused on customer satisfaction
- Ability to work under minimal supervision while demonstrating strong initiative, judgment, as well as discretion with confidential information.
- Strong writing skills for research and report preparation as well as analytical, detail-oriented, flexible, decisive and resourceful skills

This is a full-time, Monday–Friday role (40 hours per week).

Additional Requirements
A requirement of working for EPCOR is that you are at least 18 years of age, successfully attained a high school diploma (GED, or equivalent level of secondary education) and legally entitled to work in Canada. (A copy of a valid work permit may be required.)
If you are considered for the position, clearance on all applicable background checks (which may include criminal, identity, educational, and/or credit) and professional reference checks is required. Some EPCOR positions require an enhanced level of background assessment, which is dictated by law. These positions require advanced criminal record checks that must also be conducted from time to time after commencement of employment.
A technical/practical assessment may be administered during the selection process and this exercise will be used as a part of the selection criterion.
Prior infractions for unsafe driving behaviours will be evaluated and considered for non-selection regardless of current demerits on file.
Valid Class 5 Alberta Driver’s License
Ability and willingness to travel occasionally between EPCOR sites and facilities within the Edmonton area
Successful applicants must provide their own vehicles with appropriate insurance in accordance with EPCOR’s Employee Mileage Reimbursement Policy. You will be reimbursed in accordance with EPCOR’s Employee Mileage Reimbursement Policy.
